Supporting your patients with WiStim?
Here you will find all the features of your professional area and everything you need to get started.
To start managing your patients on WiStim, you first need to create an account.
The first step is to go to http://www.wistim.com and click Pro area in the banner at the top of the site.
You will be redirected to the WiStim platform login page: https://doctor.wistim.com/login
To create your account, click New account, then complete the required information.
Select your profile.
If you select a professor or physician profile, enter your RPPS number.
You can also choose whether or not to receive certain emails. You can be notified about a message received from a patient, a BHCG result sent by a patient, or a summary of your activity for the day.
For a physician or professor, once your profile is complete, it will require validation by a WiStim administrator. Please contact us directly if you do not receive a reply within one week.
After validation by WiStim, an email will be sent to verify your address. Click the link received to complete the creation of your account.
And that's it! You are now one of WiStim's users: your patients can find you in their app and set you as their referring physician.
For the other user profiles, your account must be validated by your center. From the team management section, you can view pending connection requests, which will be accepted or declined by the center. You can also contact our team to request the creation of your account.
Once your account is created, access your physician area through http://www.wistim.com and click Professional area, or go directly to https://doctor.wistim.com/login.
The first page of your platform shows the ongoing cases.
Follow patients with appointments for a hormone assay here. By default, the list shows the current day's appointments, but you can select another date.
Find patients with an appointment related to an egg retrieval, an insemination (IUI) or an embryo transfer. The appointments shown are those of the day, or of the selected date.
Here you see patients who have sent their period start date (past or current day). Once this information is processed, they disappear from the list. The patient's period date remains shown on her profile, above her stimulation dashboard.
Find patients who want to connect with you. You can accept or decline the request.
List of patients who have had a BHCG test. The test date is shown. A check mark appears if the patient has sent you a result.
View all patients currently in stimulation here. You get a quick overview of their journey.
All documents sent by your patients are centralized here. You can open them directly or choose to ignore them.
From every tab, you can sort the display of patients by last name, birth name, first name, date of birth or partner's name, by clicking the button next to the label you want. You can also filter by the patient's physician. When you click a patient, her record opens.
In order to send their treatments to your patients through the app, they must set you as their referring physician.
You can connect with your patients in two ways:
On the home screen of your professional account, click the Pending connection tab. You get the list of patients who have sent you a request: simply click Confirm on the lines of the patients you treat.
If you do not want to accept a patient, tap the Decline button. In that case, an email, which you can customize, will be sent to inform her of your decision.
On the home page, click the Create a new record tab at the top of the page. By creating your patient's profile, you invite her to download the app so she can track her fertility treatment on her phone.
Simply fill in the record with your patient's information. Remember to enter her email address so she properly receives her download link with her password.
Once this information is filled in, confirm the creation of the record by clicking Create account. The patient will receive an email with the information to access her treatment.
Select the type of journey the patient is undertaking:
Add the patient's social security number to have direct access to her test results, sent through Apicrypt.
Caution: always make sure to check the patient's information before any account creation or validation.
By accepting a patient's connection request or creating her profile, you can access her medical record.

The patient enters her data directly from her app. You will have continuous access to all her pre-filled information from her profile, in the Medical record tab. Information provided by a partner, if any, will also be available.
You can also edit this information. To do so, click the edit icon.
Click the different labels to edit the information. A gauge appears, on which you can set the frequency of tobacco or alcohol consumption, or sports activity, for the patient or her partner.
Among the options, select the relevant case, add a remark if needed, then remember to click the button to add the data. Conversely, to remove a data point, tap the delete button.
Add the exam date, enter the results, then tap the add button. Finally, to save all your changes, click the green Confirm button.
The data will then be updated for you and on the patient's account.
By clicking the dedicated button, add any serology tests for the patient and her partner, specifying their dates.
You can also indicate the patient's pregnancy and infertility history using the buttons provided.
Click the remark icon to write a note visible only to you, not to the patient.
On the bell icon, access all notifications sent to your patient, and send her a custom notification if needed.
To find a patient, you can run a search on the home page of your profile, via Search a record.
You can search by various details, such as the last name, first name or date of birth of the patient or partner.
Once on one of your patients' profiles, you can also switch records directly. Click the Switch record tab at the top of the screen, where you can search for your patient by her last name, first name or her partner's name.
Once on the desired patient's profile, click the Dashboard button in Treatment.
A pop-up appears: choose the type of stimulation, the protocol information, and the dashboard start date. Depending on the settings configured beforehand, the treatment will already be filled in.
You now have access to your patient's stimulation dashboard. This is where you enter prescriptions, appointments, and blood test and ultrasound results before sending them to your patient.
Now that the stimulation is initialized, you can fill in the dashboard and schedule the next appointments before sharing them with your patient.
To add a treatment to the dashboard, select the Add a medication drop-down menu and choose the product from the list. A search bar is available to make selection easier.
This action creates a new line matching the selected medication. Once the line is created, select a day, then add the doses you want: the available dosages are automatically linked to the chosen medication. You can apply the treatment over several days by checking the Apply for a period box. The circular arrow lets you reset the doses to 0, either for the selected day or for a defined period.
You can also carry over all treatments across a period. To do so, click the day up to which you want to extend the treatments, then click the carry-over button. All your treatments will be extended up to the chosen date.
As before, click the cell matching the Scheduled appointment line and the desired day. A pop-up opens so you can select the appointment. You can specify a time, which will be visible in your patient's app. Click Confirm to save your changes.
If instructions have been set for this type of appointment, they will appear automatically next to the appointment in the patient's app. If the instructions are changed, these changes will apply only to future stimulations, not to ongoing ones.
The blue dot corresponds to the stimulation outcome, which varies depending on the type of treatment selected at initialization. It can therefore represent an IUI, egg retrieval, FET, or any other type of outcome depending on the chosen protocol.
The Cancellation appointment lets you stop a treatment on the desired date; the stimulation will be automatically archived the next day. If you want to archive a stimulation manually, you can do so from the post-treatment page, or, for oocyte freezing or biopsy journeys, directly from the dashboard page.
You can add your patients' blood test and ultrasound results directly to the table. On the correct line, select the day of the appointment for which you want to enter the results.
You can enter the results manually then click Save: they will appear automatically in the dashboard. The patient can also enter her own results. In that case, they will also appear in the table, accompanied by a person icon, letting you easily identify that it was the patient who sent them.
If the patient's social security number has been entered, and the prescriptions specify sending results to the following Apicrypt address: wistim@medical75.apicrypt.org, then blood test results can be received directly in the table. You will not need to enter them manually.
Once your table is filled in, all that's left is to share it with the patient so she receives all her information. Click the Send button at the bottom right of the dashboard. The date and time of the last send are then listed under the button.
This step is very important: without sending the dashboard, the patient will not receive her treatments or appointments. A notification banner reminds you when you have not yet sent your table.
The Initialize post-treatment button lets you add prescriptions following the stimulation outcome. You can also access it by clicking the Post-treatment button, from Treatment.
If the settings for post-IUI, post-egg-retrieval or post-frozen-embryo-transfer treatments have been configured, the post-treatments are pre-saved. This means that, at initialization, the medication lines are already pre-filled. You simply send them directly to the patient.
When a FET appointment is added, the treatments prescribed the day before are automatically carried over into post-treatment and sent to the patient.
This automation saves you valuable time while offering your patients smooth and efficient follow-up.
The post-treatment table works the same way as the dashboard: you can add a medication, schedule an appointment or edit a prescription in the same way.
You can archive a stimulation. Enter the conclusion of the treatment your patient has undergone; it can be edited later. In the post-treatment section, click Result: a drop-down list appears, select the relevant option.
Then click the Archive button at the bottom of the post-treatment page.
You can view your patient's previous stimulations at any time in the History tab, in the banner at the top of the screen, from a patient's profile or dashboard. Likewise, the patient can access her previous stimulations in the My treatment tab of the Cycle page.
From the patient's record, you also have access to her history. In the History tab, you will find all the data from her past stimulations. By clicking a stimulation, you access its entire treatment table.
If needed, you can download a PDF of the stimulation. Click the print icon, choose the dates for which you need the treatment, then tap Download to generate the PDF.
You can update the result of an archived stimulation by going to its post-treatment page. Click Result at the bottom left of the screen: a drop-down list appears, then choose the relevant result.
If the stimulation was archived by mistake, or a change needs to be made, you can also unarchive a stimulation so it becomes "ongoing" again, by clicking the dedicated button. Finally, the archived stimulation can be deleted if needed, by clicking the button at the bottom of the screen.
Documents let you make forms, results or important information available to your patients. The patient can securely store all her documents about her assisted reproduction journey and share them with you.
You can access them from the patient's profile, in the Documents tab. Find all your documents sorted by category.
The Apicrypt tab lets you receive your patients' Apicrypt documents directly in WiStim. For this, the patient's social security number must be entered, and the prescription must specify sending results to the following address: wistim@medical75.apicrypt.org
From the home page, in the Settings menu, you can customize the notifications sent to your patients and the instructions for prescribed appointments.

Customize the instructions for the various appointments prescribed to your patients, to support them better.
Still in Settings, you can customize default stimulation and post-ART protocols to make sending treatments to patients easier. Set appointments and add treatments as you wish: you will then only need to select the right protocol when initializing a patient's stimulation.
For FET configuration, you are free to customize the carry-over duration and manage appointments according to your specific needs. The post-treatment is thus defined according to the stimulation outcome.
The Messages section lets you customize how your instant messaging works and is organized: enable messaging for the center's physicians, define your conversation categories and manage collaborator access to them, and adjust the display of your conversation feed. This function can be enabled or disabled according to your needs from your account settings. Find detailed usage and activation in the Additional features > Messaging section.
In the Documents accessible to patients tab, you will find the explanatory videos (taking treatment, etc.) and the articles available in the patients' app. From the Care circle documents tab, you can add or remove documents that patients can consult continuously, directly through their app.
The Consents section lets you edit the consent templates: customize the header and footer of your documents (title, logo, text), view the body text (locked by WiStim) and define their automatic sending rules according to the type of ART and the patient's profile. This function is part of an optional module. If it is not enabled on your area, an information banner lets you contact WiStim. Find detailed usage and activation in the Additional features > Consents section.
The Team management section lets the center's administrators manage the users belonging to their care circle and define their access rights to the software's various features. From this page, you can view your team members, manage their access and track pending affiliation requests.
User management is organized into two tabs.
"Team management" tab: it shows the list of users already attached to your center. You can enable or disable certain accounts and customize the access rights of healthcare professionals. You can thus allow or block features such as: access to patient records, the ability to prescribe, access to messaging, team management, access to settings and statistics, or the receipt of exam results through Apicrypt. This tab ensures that each professional has only the features necessary for their work.
"Pending" tab: it gathers the affiliation requests of users wanting to join your center. Profiles such as secretary, midwife, resident or lab technician must be validated by a center physician before they can access the center's environment.
When a new request is pending validation, a notification is visible from the Settings tab on the home page. A pink notification dot appears on the Settings icon in the navigation bar. By clicking this menu, then Team management, a numbered badge signals the unprocessed requests in the Pending tab. Click this tab to view the list of members wanting to join the team (role, last name, first name and contact details). For each request, you can grant access by clicking Confirm, or reject it via Decline.
Once the request is accepted, the user is added to the team and receives the rights assigned to them.
Finally, on the Statistics page, you access a summary of all stimulations carried out over a given period, presented as charts. To go further, you can download an Excel table detailing all the data related to the stimulations.
Monitoring is performed daily by the medical team. You have visibility on patients' appointments for the day (for example 4 ultrasounds and blood tests).
A check mark means the treatment has been sent, and the double check mark indicates it has been read by the patient. The @ symbol means that a blood test result has been recorded, whether by the physician, the patient, or directly through Apicrypt.
You also have traceability on the patient's treatment intake, thanks to the check mark in the dashboard.
WiStim includes a two-way messaging service dedicated to exchanges between the medical team and patients. Simply enable or disable this feature according to your needs from your account settings.
You receive patients' messages directly in your messaging notifications, at the bottom right of the interface. By clicking on them, you access the full history of conversations. Unread and new messages appear in blue. The patient's last name, first name and the message category are shown.
When you click a conversation, you can:
To chat with a particular patient, go directly to her profile. You can then start a new conversation by clicking the button at the top of the screen. Choose the category you want according to the settings defined beforehand, then send your message. You can also send your message in an already open conversation.
Archive conversations you no longer need by clicking the dedicated button. They will also be archived for the patients.
From the home page, on the Settings page, in the Messages section, you can set up predefined questions and answers, as well as message categories, to organize your messaging with your patients as you wish and optimize your exchanges.
In the Customize Categories section, when you click For physicians, select the physicians for whom messaging is enabled. Create, edit or delete categories to better organize received messages. You can also choose which members of your center have access to each category.
In Customize Questions, add questions with automatic answers that your patients can consult before writing to you. To do so, click the message icon to create or edit a custom answer.
In the Customize Display tab, choose to:
For each message category, you can add reply templates to use in your exchanges. Give each template a clear title and write the standard message that will be sent in one click when you select it.
You can also set up an automatic message for your instant messaging. When a patient writes to you, she immediately receives this text as an automatic reply. To set it up, click your first and last name at the top right of the screen to access your profile, then write your text in the dedicated box.
Consent management is an add-on module of WiStim that lets you digitize the signing of the documents required for the ART journey.
If this feature is not enabled on your account, an information banner is visible in the Settings tab, within the Consents section, with a direct link to contact the WiStim team for information or to request a quote. Following the validation of your request, the WiStim team takes care of configuring your documents. Once this activation is done by our services, the editing window unlocks access to all the module's features.
As soon as you initialize a new treatment for a patient, the consents are sent automatically, according to the type of ART and the patient's marital situation. If the partner's email address is entered in the profile, an email is automatically sent to inform him that consents are awaiting signature on the patient's app.
You have two visual indicators to know whether all consents are signed.
On the home page: in the Ultrasound / Blood test tab, a Cst column has been added between the App and Name columns to show each patient's consent signature status. A cross on a red background indicates one or more missing signatures; a check on a blue background confirms that all consents have been signed. You can sort this column.
Patient's treatment page: the Consent button stays black as long as a signed consent is missing, and turns blue once all consents are signed. By clicking the consent icon (located between the stimulation summary and the partner profile), you open a window where each consent is listed with its individual status. The Consent button opens a Consents sent window, where you can see the signature status of each document (signed or not signed) to the left of each title.
To add a consent, first click the button dedicated to consents: a window shows the list of consents already sent. To add a new one, click the drop-down bar titled Add consents to display the menu with the various choices. Once a consent is selected, it is automatically added at the bottom of the list.
Then click OK to see a confirmation notification indicating that the consents have been sent. You will find the new document at the very bottom of the list, identifiable by a cross-on-red-background icon, to the left of the title.
To cancel the sending of an unsigned document, go to the Treatment page and click the Consent button to display the window grouping the sent forms. Then click the cross to the left of the title of the consent you want to remove.
A permanent-deletion confirmation window then appears to alert you that you are about to delete the document from the patient's records. If you click yes, the document is deleted simultaneously on the patient's app and in the documents section of the physician interface, and a message displays "action completed". If you click no, the system simply returns you to the sent-consents window without making any change.
You can mark the consent as "signed". Click the cross with a red background to the left of the title: a window appears to mark as signed, click yes. The document will be generated as a PDF with a "Marked as signed" watermark and saved in the patient's Documents, in the Consents section, dated the current day.
If you archive a treatment before signature, the consents are kept in the patient's Documents, Consents section, on the archiving date. The generated PDF has a "Treatment archived" watermark. If you archive a treatment after signature, the consents are kept on the signature date; the kept PDF is identical to the signed original and bears no watermark.
As soon as the patient (and her partner, where applicable) has validated the signature of her consents on the app, the final PDF documents are instantly generated. You can view or retrieve them from two places:
Once the module is enabled, certain elements can be customized from your center's settings in order to adapt the documents and their sending rules to your organization. To edit the consents, go to the Settings page, then click the Consents section, located between Documents accessible to patients and Team management.
Important: the consent templates are created and configured beforehand by a WiStim administrator. As a physician or center, you have a limited level of editing on these documents. To add a new template or modify the legal framework of a text, you must contact WiStim support by email at application@wistim.fr
Once on the Consents page, you see the list of the various consents previously configured by WiStim, in the left-hand column. Select one to bring up its editing interface, which opens by default on the first tab, named Header.
In this tab, you can edit the consent title and customize the top part of the document by clicking Choose a file to upload your logo, whose positioning you will then set to the right, center or left. You also have control over the header text, for which you can choose the font and formatting, before you must click Confirm to save, or Preview to check the visual result.
The next tab, Body text, presents a non-editable interface, because this content is configured directly by WiStim; a yellow banner reminds you to contact technical support for any desired change.
The Footer tab works the same way as the Header tab: it lets you enter customized text with the formatting of your choice, while requiring manual validation for the changes to take effect.
The Conditions tab lets you define the automation rules for your consents. This is where you determine which consent must be sent, to whom, and according to which type of ART. For each consent, first select the types of ART concerned: an enabled journey is indicated by a green check, whereas a cross indicates that it is not selected and that the document will not be offered for this type of ART.
In addition, you must define whether the document is intended for patients alone or as a couple. This distinction is essential: it allows the system to check the consistency of records in real time. Thus, the consent will only be sent if the patient's profile matches your settings exactly.
The interface lets you switch easily from one profile to another for smooth management of your documents. Using the dedicated selector, changing the physician immediately brings up the consents associated with that specific practitioner. This flexibility also lets you view the consents of your care circle, and therefore access the reading of other practitioners' consents.
It is essential to remember that, without a click on the Confirm button at the bottom right, no change will be saved. Any validated update is immediately applied to the next generated documents.
